Popper Cello Academy – Participant Data

In connection with participation in the Popper Cello Academy, the Popper Heritage Association may collect and process additional personal information necessary for the organization and safe operation of the Academy.

This may include:

  • participant identification and contact information;

  • travel and arrival/departure information;

  • dietary requirements and food allergies or intolerances;

  • repertoire and other information necessary for the organization of lessons, masterclasses and performances;

  • parent or legal guardian contact information for participants under the age of 18 who will stay in Várpalota without a parent or legal guardian;

  • health-related information voluntarily provided where relevant to the participant's safety or to an appropriate response in an emergency;

  • health/travel insurance information for participants under the age of 18 who will stay in Várpalota without a parent or legal guardian and who are travelling to Hungary from abroad.

Purpose of Processing

This information is processed only to the extent necessary for the organization and administration of the relevant Popper Cello Academy, including accommodation and catering arrangements, travel coordination, musical and educational planning, participant safety, and appropriate response in case of an emergency.

Health-Related Information

Health-related information is considered special-category personal data under the GDPR.

Participants are asked to provide only health-related information that may be relevant to their safety during the Academy or that the organizers may reasonably need in order to respond appropriately in case of an emergency.

Health-related information voluntarily provided in connection with the Popper Cello Academy is processed on the basis of the participant's explicit consent or, where applicable, the explicit consent of their parent or legal guardian.

Consent may be withdrawn at any time by contacting the Popper Heritage Association at popperheritage@gmail.com. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.

Where necessary to protect the vital interests of a participant in an emergency, relevant information may be disclosed to emergency medical services or other persons directly involved in providing emergency assistance.

Participants Under the Age of 18

For participants under the age of 18, the Pre-Academy Information Form must be completed or reviewed together with a parent or legal guardian.

Where health-related information concerning a participant under the age of 18 is provided, explicit consent to the processing of that information is requested from the participant's parent or legal guardian.

Personal data concerning participants under the age of 18 will be handled with particular care and only for purposes directly connected with their participation, safety and the organization of the Academy.

Access to Academy Participant Data

Access to personal data collected through the Pre-Academy Information Form is limited to persons involved in the organization of the Academy who require the information for the purposes described above.

Health-related information will be made available only on a need-to-know basis. It will not be routinely shared with faculty members, accommodation providers, catering providers or other participants unless particular information is necessary for the participant's safety, dietary arrangements or an appropriate emergency response.

Academy Data Retention

Personal data collected specifically for the administration of the Popper Cello Academy will be retained only for as long as necessary for the organization and completion of the relevant Academy and for any applicable administrative or legal requirements.

Health-related information collected solely for participant safety during the relevant Academy will not be retained longer than necessary for that purpose, unless retention is required by law or necessary in connection with a specific incident.

Right to Lodge a Complaint

If you believe that the processing of your personal data infringes applicable data protection law, you have the right to lodge a complaint with the competent supervisory authority.

In Hungary, the supervisory authority is the Hungarian National Authority for Data Protection and Freedom of Information (NAIH).
